Proposal Submission > Evaluation process

EuroMAC 11 received 311 proposals for regular presentations, 4 for flash sessions (with a sum of 22 short talks), 19 for workshops, and 8 for posters. As posters and workshops did not compromise time slots for presentations, their assessment was directly taken by the co-chairs. Conversely, proposals for regular papers and for talks in flash sessions went through a reviewing process in 3 rounds. In each round, the proposal could be accepted, rejected, moved to the poster session or transferred into the next round. The choice was made comparing the reviewers’ assessment with thresholds adapted to each round, or their advice for considering the poster modality. During all this process, the reading panel and the permanent scientific committee were author-blinded; only the co-chairs were always aware of the authors’ identities.

In the first round, each proposal was sent to 3 members of the reading panel. They assessed them in function of their suitability, originality, and scientific quality. Authors have received their individual assessment and sometimes a qualitative comment. Talks within a flash session were jointly assigned to reviewers in order to guarantee overall coherence.

Concerning the proposals which jumped into the second round, they were reassessed by the permanent scientific committee. Each proposal was reviewed again by 2 people, who had to provide a shortlist with a priority order. They were also aware of the reviewers’ comments (but not their score) in the first round.

Finally, in the third round, the chairs assessed those undecided in the second round and also reconsidered a few proposals previously rejected presenting evaluation flaws (we detected a few outlier behaviors in some reviewers’ scoring, and a few qualitative comments clashing with the call for papers). According to the time slots we can have during the conference, a small part of these proposals were accepted and the remaining ones were transferred into the poster modality.
